These Terms of Service (“Terms”) govern access to and use of the iSuites hotel management platform — our website, staff-facing application, and any related mobile or AI assistant features (together, the “Service”), provided by [Company Legal Name](“iSuites”, “we”, “us”, or “our”). By creating an account or using the Service, you agree to these Terms on behalf of yourself and, if applicable, the business you represent.
1. Who These Terms Apply To
A business that registers a company account (a “Customer”, typically a hotel or hospitality property) is responsible for its use of the Service, including the actions of every staff member it invites. If you are a staff member using the Service on behalf of a Customer, you agree to these Terms and to any additional policies your employer sets for how the Service is used.
2. The Service
iSuites provides tools for managing bookings, check-in/check-out, room and rate configuration, housekeeping, guest folios and payments, staff accounts and roles, and related communications (such as booking confirmations and reminders), along with an optional AI assistant feature. We may add, change, or remove features from time to time.
3. Accounts & Registration
- You must provide accurate, current information when registering a company or staff account, and keep your login credentials confidential.
- You are responsible for all activity that happens under your account, and for promptly disabling access for any staff member who should no longer have it.
- We may suspend or terminate an account that provides false information, or that we reasonably believe is being used fraudulently or in violation of these Terms.
4. Subscriptions & Billing
- iSuites is offered under the pricing plans published on our website, which may be billed monthly or yearly, based on number of rooms and staff logins.
- Fees are billed in advance and, except where required by law or stated otherwise, are non-refundable.
- We may change our pricing with reasonable advance notice; continued use of the Service after a price change takes effect constitutes acceptance of the new pricing.
- If a payment fails or an account falls into arrears, we may suspend access to the Service until the account is brought current.
5. Acceptable Use
You agree not to:
- Use the Service for any unlawful purpose, or in a way that infringes the rights of others;
- Attempt to gain unauthorized access to any part of the Service, other accounts, or our systems;
- Reverse-engineer, decompile, or attempt to extract the source code of the Service, except as permitted by law;
- Interfere with or disrupt the integrity or performance of the Service (for example, through excessive automated requests);
- Use the Service to store or transmit unlawful, defamatory, or infringing content, or to send unsolicited communications to guests who have not consented to receive them.
6. Guest Data — Your Responsibilities
When you use the Service to enter, store, or send communications about your guests, you are responsible for having a lawful basis to collect and process that information, for providing any notices your guests are legally entitled to, and for complying with applicable data protection and consumer protection laws in the jurisdictions where you operate. iSuites processes guest data on your behalf and in accordance with our Privacy Policy, but does not determine what guest data you choose to collect or why.
7. Intellectual Property
The Service, including its software, design, and branding, is owned by iSuites or our licensors and is protected by intellectual property laws. Subject to these Terms, we grant Customers a limited, non-exclusive, non-transferable right to access and use the Service for their internal business purposes. You retain ownership of the data you and your guests submit through the Service (“Customer Data”); you grant us the right to host, process, and display that data solely to provide and improve the Service.
8. Third-Party Services
The Service may integrate with or rely on third-party providers — for example, for authentication (such as Google Sign-In), email or SMS delivery, and payment processing. Your use of those integrations may also be subject to that provider's own terms.
9. Service Availability
We aim to keep the Service reliable and available, but we do not guarantee uninterrupted or error-free operation. We may perform maintenance, and features may change over time. The Service is provided “as is” and “as available”, without warranties of any kind, to the fullest extent permitted by law.
10. Limitation of Liability
To the fullest extent permitted by law, iSuites will not be liable for any indirect, incidental, special, consequential, or punitive damages, or for any loss of revenue, profits, or data, arising from your use of the Service. Our total liability for any claim relating to the Service will not exceed the amount you paid us for the Service in the [three (3) months] preceding the claim.
11. Termination
You may stop using the Service and close your account at any time. We may suspend or terminate access to the Service if you materially breach these Terms and do not correct the breach after being notified, or immediately in cases of suspected fraud, security risk, or legal requirement. On termination, we will make reasonable efforts to allow you to export your Customer Data for a limited period, except where legally prohibited.
12. Changes to These Terms
We may update these Terms from time to time. If we make material changes, we will update the “Last updated” date above and, where appropriate, notify Customers directly. Continued use of the Service after changes take effect constitutes acceptance of the updated Terms.
13. Governing Law
These Terms are governed by the laws of [governing jurisdiction], without regard to its conflict-of-laws principles, unless otherwise required by applicable law.
